When you buy a custom-configured retro handheld from me, you have to trust me with your personal information. I take that responsibility seriously.
I am in the business of selling premium gaming devices, not your data. I will never sell your personal information to third-party marketers or advertisers. This policy explains exactly what data K-TEC Systems Ltd collects, why I need it, and how I keep it safe.
1. Who is collecting your data?
Any personal data provided to or gathered by this website is controlled by K-TEC Systems Ltd (referred to as “I”, “me”, or “my” in this policy), a registered company in the United Kingdom.
2. What information do I collect and why?
To run the store and provide you with a premium service, I collect the following information:
- Order & Delivery Information: When you check out (either as a guest or by creating an account), I collect your name, email address, billing address, and postage address. Why? I need this to process your payment, safely pack your device, and generate a Royal Mail postage label so your order reaches you.
- Payment Information: I offer express and secure checkouts (such as PayPal, Google Pay, and standard card payments). I do not see, collect, or store your raw credit/debit card numbers. These are handled entirely by the highly secure, encrypted payment processors.
- Device Care & Review Emails: When you buy a device, I use your email address to send you order updates and a one-off “Device Care” email soon after delivery to ensure your console is running perfectly and to invite you to leave a review.
- Product Reviews: If you leave a review on the site, I collect the data shown in the review form, alongside your IP address and email address. Why? To verify that you are a genuine buyer of the device.
3. Who do I share your data with?
I only share your data with the specific third-party services required to fulfil your order and run the business safely. These include:
- Couriers: Specifically Royal Mail, who need your name and address to deliver your parcel.
- Payment Processors: Such as PayPal, to securely authorize your payment.
- Spam Detection: Automated services that check comments and reviews for spam.
4. Cookies & Embedded Content
- Store Cookies: Because this is a WooCommerce store, my site uses standard functional cookies. These simply allow the website to remember what is in your shopping basket, remember your details if you choose to create an account, and keep you logged in. They do not track you across the wider internet.
- Embedded Videos: I occasionally embed YouTube videos (e.g., device reviews or tutorials) on some pages. If you play these videos, Google/YouTube acts as a third party and may use their own cookies to monitor your interaction with that video, just as if you were watching it directly on youtube.com.
5. How long do I keep your data?
- Website Accounts: If you create an account, I store your profile information for as long as your account exists.
- Order Records (The Legal Part): Even if you checkout as a guest or later delete your account, UK tax law requires me to keep basic historical order information (what was bought, when, and by whom) for at least 6 years for HMRC accounting purposes.
- Reviews: If you leave a product review, the text and metadata are kept indefinitely to help future customers make informed choices.
6. How to delete your account & your legal rights
Under the UK GDPR, you have the right to access, rectify, or erase your personal data.
Deleting your account:
I have made this as easy as possible. If you have created an account on the site, you can delete your profile and erase your login data at any time. Simply log in, navigate to My Account -> Account Details, and select the option to delete your account.
(Please note: As mentioned above, deleting your web profile will remove your login access, but it does not erase the historical financial invoices of your purchases, which I am legally obliged to retain for tax purposes).
If you checked out as a guest, or if you wish to request an exported file of the personal data I hold about you, simply contact me via the website.
If you feel your data has been mishandled, you also have the right to lodge a complaint with the UK’s Information Commissioner’s Office (ICO), though I would always appreciate the chance to resolve any concerns with you directly first.
7. Contact Me
If you have any questions about this Privacy Policy or how your data is handled, please use the contact form on the website, and I will be happy to help.
